There’s nothing more frustrating to a job seeker than sending out resumes, going on interviews, and making connections with HR professionals, only to never receive a definitive response. Giving them an answer – even if it’s a rejection – is beneficial to you as well, since it will eliminate follow-up inquiries, and cast your company in a favorable light for taking the time to respond.
Here are some sample rejection letter templates to help make rejecting job applicants a bit easier…
General rejection after interview. If you’ve spent the time meeting with someone who turned out to not be the right fit, it’s common courtesy to send them a letter letting them know in a timely manner. If nothing else, they’ll move on with a favorable impression of your company.
Rejection with specific feedback. This is the most time consuming letter to write, but also the type that will be most useful and appreciated by a candidate. Oftentimes, job seekers do not know why they weren’t chosen, or worse – never hear back at all! Just tread lightly when offering feedback, as you don’t want to appear insulting in any way.
Of course, you may have other reasons to send an applicant a rejection letter. Here is some wording to work into your standard letter template to address those situations.
Someone applies, but there aren’t any positions.
“Unfortunately, we do not have any openings in your areas of interest and expertise at this time. We will keep you resume on file for XX months in case our hiring needs change. Best wishes to you!”
Someone applies, but they don’t make the interview stage.
Note: Many companies chose not to respond to every applicant at this stage, but job seekers do appreciate the gesture. “We appreciate your interest in (Company Name) and the position of (Name of Position) for which you applied. After receiving and reviewing numerous applications, unfortunately you were not among the most qualified for the role.”
An applicant was impressive, just not the right fit for the role.
“While we anticipate that an individual with your qualifications will soon find employment, we want to emphasize that we would encourage you to apply to other positions with XX company in the future. We’ll keep you in mind should a position that matches your expertise opens up.”
